Digital Operations · UK businesses
Find where your digital customer journey is losing enquiries, trust and time.
Kayja helps established businesses improve the websites, customer touchpoints, reputation processes, automation and follow-up systems that customers see and staff depend on—without making you coordinate several disconnected suppliers.
This may be a good fit if
- You run an established owner-managed or leadership-led business.
- A new customer is valuable enough to justify improving conversion and follow-up.
- Enquiries, customer information or internal hand-offs are being lost between people or systems.
- Your website, online profiles, reporting or automation feel fragmented.
- Negative reviews or comments create risk and nobody clearly owns the response.
- You want a practical diagnosis before committing to a larger implementation project.
Private Digital Operations Diagnostic
Diagnose the problem before investing in a large solution.
We review the customer journey and the operational hand-offs behind it, speak with you about how enquiries and customer information are managed, and identify the improvements most likely to strengthen trust, response quality and owner visibility.
What the diagnostic examines
- Your website and the path a prospective customer takes.
- How enquiries are captured, assigned, followed up and closed.
- Customer-facing automation, reporting and operational information flows.
- Google, Trustpilot and relevant social-review risks, responses and credibility signals.
- Where customers lose confidence, staff repeat work or ownership becomes unclear.
- Three prioritised improvements with a practical action plan.
Not ready to book?
Take the free operations check first.
Eleven questions about how your operation runs and the software it uses. You will see which problems your answers point to on the page, and we email you the full report with a practical first step for each one. No call and no sign-up. Your score is calculated privately in your browser, and none of your answers are sent to us unless you request the full emailed report.
Start the free checkFixed-fee diagnostic
Fixed scope and fixed price, agreed in writing before work begins.
We set the price once we understand the operation, during the free Operations Review. Quoting a number before that would mean guessing at your problem, and you would be paying for the guess.
You receive a concise written diagnosis, a prioritised action plan and a private findings-review call. The free Operations Review comes first. You pay only after we confirm that the diagnostic is appropriate, agree the scope with you in writing and you choose to proceed. Diagnostic work begins after payment clears and you book the private kickoff.
Implementation credit
If you proceed with an implementation Statement of Work arising directly from the diagnostic, your diagnostic fee is credited against the final implementation invoice. The Statement of Work must be accepted within 30 calendar days of the date we deliver your diagnostic report. The credit is a conditional discount rather than money we hold on your behalf, it applies only against a signed Statement of Work, and it is non-transferable.
You stay in control
Nothing reaches your customers without your approval. Anything we draft on your behalf is held for you to read and release. That is how we work by default, not a setting you have to ask for.
You can export everything and leave at any time. Your data, your documents and your process maps are yours. There is no period where walking away costs you what we built together.
How payment works
Nothing is payable until we have agreed the work in writing. You receive a Statement of Work setting out exactly what is delivered, what is excluded and what we need from you. Once you accept it, the diagnostic fee is payable in full before work begins, on 14 day terms.
There is no online checkout and nothing to buy on this page. Every engagement starts with the free Operations Review.
Cancellation: fully refundable if you cancel at least 48 hours before the kickoff call.
This is a business-to-business engagement. There is no obligation to continue into implementation. If we do not identify a commercially worthwhile problem that we are suited to diagnose, we will say so.
A clear route from concern to decision
01
Free Operations Review
A focused 15-minute conversation to understand the concern, establish whether there is a suitable operational problem to diagnose and decide whether the next step is worthwhile.
02
Written scope and payment
If the fit is right, we confirm the diagnostic scope in writing. You decide whether to proceed and pay the agreed diagnostic fee before any diagnostic work begins.
03
Private kickoff and diagnosis
After payment clears, you receive the private kickoff-booking link and preparation questions. We then examine the agreed customer journey, systems, hand-offs, reputation process and evidence.
04
Report and findings review
Once the report has passed human approval, you receive a secure private link and book the findings-review call. The link expires 14 days after issue, encouraging timely review while limiting unnecessary exposure of your business information.
05
Decide what happens next
You leave with three prioritised improvements and a practical action plan. You can implement them internally, use another provider or ask Kayja to prepare a separate implementation proposal.
Security and evidence handling
Practical access without handing over your master passwords.
We never ask for or accept master passwords. All required access must be provided via delegated or guest accounts. All provided evidence and operational data will be securely deleted 30 days after the engagement closes, unless an implementation sprint is commissioned.
Your report is never published as an open web page. The private report link expires 14 days after issue and requires your verified email address or a unique secure token. If you need access after expiry, Kayja will review and manually reissue it.
Review and reputation operations
Protect trust before a difficult review becomes a business crisis.
We help you establish a calm, accountable process for monitoring public feedback, responding professionally, resolving genuine complaints and escalating serious reputational threats.
Monitor
Define who checks Google, Trustpilot and relevant social channels—and how quickly they act.
Respond
Establish brand-safe response guidance, approval rules and a route from public acknowledgement to private resolution.
Escalate
Separate ordinary complaints from spam, misinformation, safety allegations and potential legal or reputational crises.
Learn
Turn recurring complaints into operational improvements and track themes, response times and outcomes.
We do not promise to remove genuine criticism, manufacture positive reviews or argue with customers online. Reviews are reported only where there is a credible platform-policy breach. Sensitive legal or crisis matters are escalated to an appropriate specialist.
